When to automate, and when to build custom

High-performance bespoke software engineering and cloud infrastructure

When something in your organisation feels slow or clunky, the instinct is often to jump straight to “let’s build an app for that”. Sometimes that’s exactly right. Often, a much lighter fix — automation — will get you 90% of the benefit for a fraction of the effort. Knowing which is which saves real time and money.

Reach for automation when…

Automation shines when a process already works, but it’s repetitive and manual. You’re not changing what happens — you’re removing the human effort of making it happen.

  • The steps are clear and rarely change.
  • The work is repetitive: reminders, approvals, data entry, handoffs.
  • It connects tools you already use.
  • You need it live in days or weeks, not months.

If the process is clear and repetitive, automation usually wins.

Build custom when…

Custom software is the right call when the way you work is genuinely unique, when off-the-shelf tools force you to change your process to fit them, or when the software itself is a core part of how you compete.

  • No existing product fits how you actually work.
  • The workflow is central to your business and worth getting exactly right.
  • You need deep control over data, experience or integrations.
  • You’re building something you’ll grow and invest in for years.
Not every problem needs custom software. The skill is knowing which ones do.

A simple rule of thumb

If a process is clear, repetitive and standard, automate it. If it’s unique, central and worth perfecting, build it. And if you’re not sure, start small — automate first, learn what you really need, and build custom once the requirements are clear. That’s the approach we take with every Acadnox client: the lightest solution that genuinely solves the problem.
